Return & Exchange Policy
UAE Eligibility & Procedures.

Thank you for shopping at Ramo Scientific Medical Equipment Trading Co. L.L.C. (d/b/a “Ramo Trading”). This Return & Exchange Policy explains how returns, exchanges, cancellations, and refunds work when you purchase from our store. This Policy is part of our Terms of Service and applies to all orders placed through our Services. Some items are intended for professional/commercial use and may be subject to manufacturer restrictions, hygiene rules, and safety regulations, which can limit return eligibility.

Nothing in this Policy limits any rights that cannot be waived under applicable UAE law.

Section 01

Order Cancellations

  • Orders may be canceled only before shipment.
  • Once an order has been shipped, it cannot be canceled.
  • If a shipment is refused, undeliverable, or returned to sender, it will be treated as a return (if eligible) and may be subject to:
    • 25% restocking fee, plus shipping and handling costs (both outbound and return), and any carrier charges.
Section 02

Return Authorization Required (RMA)

No returns without prior written approval

Returns sent without an approved RMA may be rejected or returned back to the customer.

To request a return, email us at info@ramotrading.com and include:

  • Order number
  • Product name / SKU
  • Reason for return
  • Photos (required for damage/defect claims)

If approved, we will issue a Return Authorization (RMA) and return instructions.

Section 03

Return Window

You have 30 days from the delivery date to request a return authorization (RMA). Once approved, returned items must be shipped back within the timeframe provided in the RMA instructions.

Section 04

Return Eligibility Conditions

To qualify for a return, the item must be:

  • Unused, uninstalled, and in original condition
  • In the original packaging (including manuals, accessories, inserts, and components)
  • With the RMA reference included inside the box
  • Packaged securely to prevent damage during transit

If the item is returned in a condition that does not meet these requirements, we may (where permitted):

  • Reject the return, or
  • Apply a restocking/repacking fee, or
  • Issue a partial refund based on inspection results.
Section 05

Return Shipping Costs

  • Customer is responsible for all return shipping costs.
  • Shipping charges paid at checkout are non-refundable, unless required by applicable law.
  • We recommend using a tracked and insured shipping method.

If we made an error (wrong item shipped / confirmed defect on arrival), we may provide a replacement or alternative resolution, depending on the case.

Section 06

Non-Returnable Items (No Exceptions Unless Required by Law)

The following items are final sale and non-returnable:

  • Sale items / clearance items
  • Special orders and made-to-order products
  • Custom-built or custom-configured items
  • Digital/downloadable products & software licenses
  • Gift cards
  • Opened, used, or unsealed consumables (including sterile/hygiene products)
  • Perishable / expired / temperature-sensitive products
  • Any item that cannot be resold due to hygiene, safety, compliance, or manufacturer restrictions
Section 07

Damaged, Defective, or Wrong Items

A) Shipping Damage. If your order arrives damaged:

  • You must notify us within 48 hours of delivery
  • Provide photos/videos of the item + outer box + shipping label

We may require carrier inspection and/or additional documentation before approving a claim.

B) Wrong Item / Missing Parts. If you received the wrong item or missing components:

  • Notify us within 5 days of delivery
  • Provide photos and your order number

C) Manufacturer Defects (Warranty). Some products are covered by manufacturer warranty. Where applicable, defects may require warranty handling directly with the manufacturer or through the authorized service pathway.

Section 08

Exchanges

  • Exchanges must be requested within 30 days from delivery
  • Exchanges require prior approval (RMA)
  • Items must meet the same return eligibility conditions

Exchanges are allowed only for:

  • The same item model
  • Size/color variations (if applicable and available)

Customer pays shipping for exchange shipments (both directions), unless the exchange is due to our confirmed error.

Section 09

Refunds

Once we receive your return, we will inspect it and notify you of approval or rejection within 3–5 business days.

Approved Refunds. If approved:

  • Refunds are issued to the original payment method
  • Initial shipping costs are not refundable
  • Any applicable restocking fee, shipping costs, or non-returnable deductions will be applied

Refund Denials. We reserve the right to deny a refund if:

  • The return was sent without an approved RMA
  • The item was used, installed, altered, damaged, incomplete, or not in original condition
  • The item is non-returnable under this Policy
  • The return request is outside the allowed time window
Section 10

Lost or Damaged Returns in Transit

Returned items remain the customer’s responsibility until received by us. We do not guarantee receipt of returned items. If the item is lost or damaged during return shipping:

  • The customer must file a claim with the shipping carrier
  • We are not responsible for loss/damage during the return transit
Section 11

Pricing Errors / Incorrect Listings

We reserve the right to cancel any order due to pricing errors, technical issues, incorrect product descriptions, or listing mistakes. If an order is canceled for these reasons, you will receive a full refund of the amount actually paid.
